So as well as providing our customers (“customers”/ “clients” / “you”) with great services, SSA Group (“SSA Group”/ “we”) is committed to protecting your privacy. This Privacy Policy explains how we collect, share, store, and use personal information about our clients, and how they can exercise their privacy rights.

1. Why do we have a privacy policy?

We collect certain personal information from you when you use our websites, when you get in touch with us about any of our products or services, and during any process to sign up, change or cancel your request or order.

The purpose of our privacy policy is to let you know:

  • how and why we collect your personal information;
  • how we use and disclose your personal information (and to whom);
  • how we protect your personal information;
  • your legal rights and how the law protects you.

2.1 Collecting personal information

What information we collect?

We collect certain personal information from you, which is any information that might identify you. It does not include data where the identity has been removed (anonymous data) which we collect using such services as Google Analytics.

The information we collect includes:

  • Personal information
    This information may include your name, email address, postal address, social media profile, phone number, date of birth, and any other relevant information we need in order to contact or identify our customers;
  • Technical data
    This information includes internet protocol (IP) address, browser type and version, browser plug-in types and versions, your approximate location, time of your visit, operating system and platform and other technology on the devices you use to access this website.
  • Usage data
    This includes information about how you use our websites, products and services;
  • Marketing and communications data
    This includes your preferences in receiving marketing materials from us and your communication preferences.

Channels we use to collect personal information

  • Our websites;
  • Email, text, and other electronic messages between you and us;
  • Public sources, including but not limited to social media;
  • Our clients while providing services to them.

2.2 Using personal information

We’ll only use personal information of our clients where we’re allowed to by law. Generally, this will be in one or more of the following cases:

  • to perform our contract we have or will have with you;
  • it’s necessary for us to run our business and deliver the best service possible to our clients;
  • where we need to comply with a legal or regulatory obligation;
  • for marketing purposes where you have agreed to us using your personal data.

Marketing information

The information you provide might be used to send you email newsletters. For this purpose, we use the MailСhimp marketing automation platform, which is certified under the US-EU data privacy agreement and complies with the EU data privacy guidelines.

Please note that MailChimp is a third-party service that is not owned or managed by SSA Group.

Recipient lists, including email addresses, are stored on a secure MailChimp server in the USA for the purposes of email newsletter distribution. You can view the MailChimp privacy policy here.

If you decide you want to unsubscribe from receiving marketing communications or want to change how you receive them, you can always change your preferences at any time.

2.3 Disclosing personal information

We may allow the following types of organizations to use personal information we hold about our customers:

  • service providers who provide engineering services, industry data collection and aggregation, IT and system administration services;
  • professional advisers such as lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services;
  • regulators and other authorities based in Ukraine who we need to report to about what we’re doing with your personal data in certain circumstances.

Our third parties who only process data on our behalf won’t use your personal data for their own purposes and we only permit them to use it in accordance with our instructions and the law.

2.4 Protecting your personal information

We follow rigorous security procedures to protect your personal information. It’s only accessible to a limited number of persons who have special access rights to data storage systems. These employees are fully committed to comply with this Privacy Policy, our internal policies, public laws, and agreements.

We implement a variety of security measures when a user enters, submits, or accesses their information to maintain the safety of your personal information.

The servers on which personal information and other personal data is stored are kept in a controlled environment, particularly at cloud servers of Microsoft Azure.

2.5 Storing personal information

We store collected data about our clients, other companies, people with whom we already have business relationship, and people with whom we want to develop relationships in Zoho CRM, which is GDPR-compliant customer relationship management database system. The data used for these purposes include relevant business information such as: contact details, publicly available information, your responses to targeted emails, website activity, chat history, and other business information added by SSA Group employees during personal interactions with customers.

We’ll only store your personal information for as long as necessary for the reason we collected it, including for any legal requirements we have to comply with.

When deciding on how long to keep your personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of your personal information, the purposes for which we process your personal information and whether we can achieve those purposes through other means, and any applicable legal requirements.

3. Your legal rights

You have various rights in relation to your personal information. These rights are as follows:

  • The right to request correction of your personal information - if any personal information we hold on you is incorrect, you can request to have it corrected;
  • The right to access your personal information - you can request a copy of the personal information we keep on you;
  • The right to request erasure of your personal information - you can ask us to delete your personal information;
  • The right to request the transfer of your personal information - to provide you, or a third party you have chosen, with your personal information;
  • The right to restrict processing - you can ask us to restrict processing of your personal data.
  • The right to withdraw consent to process your personal information - if you withdraw your consent, we may not be able to provide certain products or services to you. We'll advise you if this is the case at the time you withdraw your consent.

We’ll try to respond to all requests within one month. If your request is complex or if you make lots of requests, we may extend our time to respond – if this is the case, we’ll let you know.

4. SSA Group’s use of cookies

How we use cookies

We use cookies to understand how people use our websites and which helps us make your experience of our websites better.

We use short-term cookies to recognize your PC as you move around our site and to remember any information you have entered into search boxes for next time you visit us.

Measuring web traffic

We use programs such as Google Analytics and to help us find out:

  • how many people visit our websites;
  • which pages are most popular;
  • how long people spend in each area;
  • what information they’re searching for.

These insights help us understand how to improve our websites.

Google Analytics uses cookies to collect non-personally identifiable information like:

  • browser types;
  • operating systems;
  • referring sites that sent you to us; and
  • the dates and times of a visit.

How can you manage cookies and where can you find further information?

If you don’t want us to use cookies in your web browser, you can remove them from your computer or change your browser settings so that it either blocks cookies altogether or asks you if you’d like to accept them from some websites.
